Processes in studies and teaching
An important pillar of quality assurance and development is ensuring regulated, transparent and goal-oriented processes within the OVGU, e.g. when introducing new degree programs or conducting course evaluations. The basic steps required to regulate the processes are bundled in process management: This primarily includes the identification, design, documentation and provision of key processes in the area of studies and teaching. This ensures that all those involved are transparently informed about work processes, i.e. each person knows which tasks, rights and duties they assume in the course of a particular process and when. In addition, the overall context of quality assurance at OVGU and its sub-processes are made visible. Improvements can be implemented quickly thanks to the clear regulations, so that continuous quality development is guaranteed. The documentation and preparation of processes in a comprehensive process management system results in the following advantages:
- Safeguarding and transparent processing of organizational knowledge
- Faster induction of new employees
- shorter set-up times for non-routine processes and less consulting work
- Cross-departmental understanding of processes
- Identification and utilization of own strengths
- Basis for discussion and tool for further development of processes.
Presentation of processes
Consistent representation is absolutely essential for the understanding and successful documentation of processes. OVGU uses the standardized “Business Process Model and Notation” (BPMN 2.0) for this purpose. The focus of BPMN is on notation, i.e. the graphical representation of processes. A series of specific symbols and connectors are used for this purpose. BPMN defines the semantics of the symbols and also specifies a certain arrangement of these. In addition to the standardized symbols and clarity, the advantages of the notation include the clear representation of responsibilities and accountabilities, even for complex processes.
All processes at OVGU are collected in the process portal and can be viewed by all university employees after logging in.
